Adding Metadata

Metadata can be added to articles to make the search for articles more efficient. You can add four types of metadata:

  • Description: The description of the article offers information and context to the article.

  • Summary: The summary of the article can be a one-line review of the content of the article.

  • Keywords: Keywords are unique words to help identify article content. Words entered during a search are matched against the keywords specified in the metadata for quicker and more accurate results. For example, while searching for a sports utility vehicle, users can enter different words. For example, SUVs, Sports Utility Vehicles, 4WD, Four-wheel drive, 4-wheel drive, etc. As a knowledge base designer, you would want a particular article on sports utility vehicles to be shown to users, irrespective of the choice of words (phrasing) that the user provides. To make this possible, you can add all these words as the keywords for that article. You must add keywords that are relevant to the article, otherwise, the user will get the wrong results while searching. There is a limit of 2 GB for keywords. This includes white space and any delimiters.

  • Additional Information: This is additional information for the article.

To add metadata to an article:
  1. In the Navigation menu, browse to Authoring > Articles.

  2. From the Folders List, select a folder.

  3. From the Articles List, select the article to which you want to add metadata.

  4. Click the Edit button to check out the article.

  5. In the Properties pane, click the Settings button_settings button.

  6. From the dropdown list, click the Toggle button_toggle_disabled button next to Metadata to enable it.

  7. The Metadata section is now visible in the Properties pane. Click the Edit button_edit_article. button.

  8. You can add Metadata in one of the following ways:

    1. In the Metadata window, click the AssistGPT  button and from the dropdown menu select one of the following options: Generate Summary, Generate Keywords, and Generate Meta Description. In the prompt window, the generated content is displayed. You can either click the Insert button if you are satisfied with the generated content or click the Regenerate button to create another version of the content. 

    2. In the Metadata window, you can provide the following details:

      1. Description: Describe the article.

      2. Summary: Type the summary of the article.

      3. Keywords: Specify the keywords for the article. The keywords should be separated by commas, with a space after each comma.

      4. Additional information: Enter the additional information for the article.

  9. Click Done.
