Alias Processing Behavior

When customers send emails to aliases such as support@yourcompany.com, the system automatically retrieves and processes these messages. In certain situations, the retriever is unable to delete processed emails from the mail server and they are added to the skip list.

Capacity Monitoring and Notifications

The system continuously monitors the size of the skip list to maintain healthy processing and notify administrators before critical limits are reached:

  1. At 80% Capacity:
    • When the skip list reaches 80% of its retriever batch size, the system sends a notification to the administrator. Email processing continues, but this serves as a proactive warning that action may soon be needed.
  2. At 100% Capacity:
    • When the skip list reaches full capacity, the system first checks the mail server to determine whether the administrator has addressed the skipped messages—by deleting or moving them to another folder. If such action has been taken, the skip list updates accordingly, and the notification is suppressed.
    • If no action has been taken and the skipped emails remain in the mailbox, the system:
      • Disables the alias to prevent further message accumulation.
      • Sends a notification to the administrator indicating that the skip list is full and action is required.

This validation helps avoid redundant alerts and ensures that administrators are only notified when intervention is necessary.

Re-enabling a Disabled Alias

After the administrator addresses the skipped messages, the alias can be re-enabled manually. Upon re-enablement, the system checks whether the previously skipped emails are still present in the mailbox:

  • If the messages are no longer present, they are removed from the skip list, and email retrieval resumes.

  • If the messages are still present, the skip list remains full, and another notification is sent to prompt further action. The alias is disabled and email processing is paused. 

The more messages that are removed or relocated, the more the system resumes processing. Once all skipped messages are resolved, the skip list clears and the alias returns to normal operation.
