Editing Approval Workflows

Users can add different stages to the approval workflows to create a multi-step review process. While editing the workflow, you can add users and user groups to review the prompt at different stages in the workflow. Users need to be assigned the Manage Prompts action to be added as Contributors to the workflow. 

Adding Stages to Approval Workflows

To add stages to approval workflows:
  1. From the Navigation Menu, browse to AssistGPT > AssistGPT.

  2. From the dropdown menu, select Approval Workflow.

  3. On the Edit Approval Workflow page, on the Stages tab, click the New  button.

  4. In the Add New Stage window, do the following:

    1. Name: From the dropdown menu, select a stage.

    2. Selected Contributors: From this field, click the Add button. In the window that opens, select the users and user groups from the list who can work on prompts in this stage.  If you want to remove any of the selected contributors, hover your mouse over the name and click the Delete button.

    3. Selected User that Can Skip Stage: From this field, click the Add button. In the window that opens, select the users and user groups from the list who can skip this stage.  If you want to remove any of the selected users, hover your mouse over the name and click the Delete button.

    4. Send Back to Stage: From the Send Back to Stage field dropdown, select the stage to which the prompts are going to be sent, in case edits need to be made by users in the previous stages. 

  5. Click the Done button.

    Repeat these steps to add more stages to the workflow.

  6. Next, go to the Notifications tab, and set up notifications for the approval workflow. 

  7. Lastly, click the Save button.

Editing Stages in the Approval Workflow

To edit stages in the approval workflow:
  1. From the Navigation Menu, browse to AssistGPT AssistGPT.

  2. From the dropdown menu, select Approval Workflow.

  3. On the Edit Approval Workflow page, from the Actions column, select the Edit  button.

  4. In the Stage Name window, you can change the contributors or users that can skip the stage. 

  5. Click the Save button.

Removing Stages from Approval Workflows

To remove a stage from the approval workflow:
  1. From the Navigation Menu, browse to AssistGPT > AssistGPT.

  2. From the dropdown menu, select Approval Workflow.

  3. On the Edit Approval Workflow page, from the Actions column, select the Delete  button. 

  4. Click the Save button. 

Changing the Order of Stages 

To change the order of stages in the approval workflow:
  1. From the Navigation Menu, browse to AssistGPT > AssistGPT.

  2. From the dropdown menu, select Approval Workflow

  3. On the Edit Approval Workflow page, from the Actions column, change the order of the stages by using the Move Up  button or Move Down  buttons. When you move stages, the value in the Send Back to Stage field is reset to Draft. After you have moved a stage, make sure you check and change the value in this field. 

  4. Click the Save button.
