About Approval Workflows
Approval workflows are used to review prompts created by users. To manage approval workflows, users need to have the AI Administrator role. On the other hand, the Prompt Author role allows users to view the approval workflows. The system has a default workflow for prompt templates and all prompts in the application go through this workflow. This workflow includes two stages: Draft and Published. Users can add multiple stages to this workflow.
Each stage in the approval workflow can have different contributors who can either move the article forward or send it back for edits. Throughout the workflow, notifications can be sent to submitters, owners, and contributors. This happens when articles go through workflows or when they are sent back to the draft stage. Contributors are also notified when articles are available for them to work on.
